Scope of this policy
This policy applies to personal information about:
- candidates and potential candidates for permanent roles;
- contacts at employers and organisations that use, or may use, Axiom’s recruitment services;
- referees and other individuals whose details are provided in the course of recruitment activity;
- visitors to axiomtalentsolutions.co.uk and people who contact Axiom through it.
Candidate information
Depending on how you interact with Axiom, the information processed about candidates may include:
- Contact information — your name, email address, telephone number and general location.
- CV information — the contents of any CV or profile you provide or that is publicly available in a professional context.
- Employment history — current and previous employers, job titles, dates and responsibilities.
- Experience and skills — technical, professional and sector experience, qualifications and professional registrations you tell us about.
- Location — where you are based and where you would be willing to work.
- Desired roles — the type of role, sector, working model and direction you are interested in.
- Salary expectations — your current or expected compensation, where you choose to share it.
- Notice period and availability — when you could realistically start a new role.
- Interview information — interview arrangements, feedback, and notes of conversations relating to specific roles.
- Employer communications — records of communications with prospective employers about you, including introductions, feedback and offer-stage discussions.
The website registration form deliberately does not ask for your date of birth, photograph, National Insurance number, passport or bank details, health information or other sensitive personal information. Please do not include these in a CV or message unless specifically required at a later, appropriate stage of a recruitment process.
Employer and client information
For people at employer organisations, Axiom processes business contact details (name, job title, organisation, work email and telephone number) and records of communications relating to recruitment requirements, briefs, feedback and commercial discussions. Vacancy briefs should describe the requirements of the role and should not include personal information about individual employees or candidates.
Website visitors
When you use this website, information you submit through forms is processed to respond to you. Essential technical information may be processed by the hosting provider to deliver the website securely. Optional analytics are only used if you consent — see the cookie policy.
Where information comes from
- Directly from you — for example through website forms, email or conversations.
- From professional networking sites and other publicly available professional sources, where relevant to a specific recruitment requirement.
- From employers, for example interview feedback relating to roles you have been introduced to.
- From referees or other people you have nominated, where references form part of a recruitment process.
Where information is obtained from a source other than you, Axiom aims to tell you within a reasonable period and, in any event, at the first communication with you.
How information is used
- to assess whether permanent opportunities may be relevant to you, and to contact you about them;
- to understand an employer’s recruitment requirement and conduct a search against it;
- to introduce candidates to prospective employers for specific roles, with the candidate’s agreement;
- to coordinate interviews, relay feedback and support communication through offer and acceptance;
- to respond to enquiries and maintain records of recruitment activity;
- to comply with legal and regulatory obligations, and to establish, exercise or defend legal claims.
Axiom does not use automated decision-making that produces legal or similarly significant effects on candidates.
Lawful basis
Personal information is processed on one or more of the following lawful bases, depending on the context:
- Legitimate interests — operating a recruitment business, identifying candidates whose experience may relate to a role, and supporting employers with permanent hiring, balanced against your interests and rights.
- Contract — where processing is necessary to take steps at your request before entering into, or to perform, a contract (including the provision of recruitment services to an employer).
- Consent — for optional analytics cookies and in other specific situations where consent is requested. Consent can be withdrawn at any time.
- Legal obligation — where processing is necessary to comply with the law.
Sharing with prospective employers
Candidate information should be shared with prospective employers only in connection with appropriate recruitment activity and in accordance with applicable privacy requirements and the basis on which that information has been obtained.
In practice, this means a candidate’s details are introduced to an employer in connection with a specific role, after that role has been discussed with the candidate and with their agreement. Axiom does not distribute CVs speculatively or indiscriminately.
Information may also be disclosed where required by law, or to protect the rights, property or safety of Axiom, its clients, candidates or others.
Data processors and service providers
Axiom uses carefully selected service providers to operate the business and this website — for example website hosting, email and document storage, form handling and, where you have consented, website analytics. These providers act on Axiom’s instructions as data processors, under written terms requiring appropriate security and confidentiality, and may not use the information for their own purposes.
International transfers
Some service providers may process information outside the United Kingdom. Where this happens, Axiom takes steps to ensure an appropriate level of protection, such as UK adequacy regulations or appropriate contractual safeguards.
Data retention
Personal information is kept only for as long as is reasonably necessary for the purposes for which it was collected — including providing recruitment services, maintaining appropriate records of recruitment activity, and meeting legal, regulatory, accounting or reporting requirements.
The appropriate period depends on the nature of the information, the purpose of processing, whether there has been recent contact or recruitment activity, and any legal obligations. Records are reviewed periodically, and information that is no longer needed is securely deleted or anonymised. You can ask Axiom at any time to delete your information, subject to the limits described below.
Data security
Axiom uses appropriate technical and organisational measures to protect personal information against unauthorised access, loss, misuse or alteration. These include access restricted to those who need it, secure transmission (this website is intended to be served over HTTPS), and selecting service providers that maintain appropriate security. No method of transmission or storage is completely secure, so absolute security cannot be guaranteed.
CV files should only be submitted through a secure upload route or by email to the address on this page; the website does not store uploaded files in your browser.
Your rights
Under UK data protection law you have rights in relation to your personal information, including:
- Access — to request a copy of the personal information held about you.
- Correction — to ask for inaccurate or incomplete information to be corrected.
- Deletion — to ask for your information to be deleted where applicable, for example where it is no longer needed.
- Objection — to object to processing based on legitimate interests, and to object at any time to direct marketing.
- Restriction — to ask for processing to be restricted in certain circumstances.
- Portability — to receive information you provided in a portable format, where processing is based on consent or contract and carried out by automated means.
- Withdrawing consent — where processing relies on consent, to withdraw it at any time without affecting earlier processing.
Some rights are not absolute and may be limited where, for example, information must be retained to meet a legal obligation. To exercise any right, email [email protected]. You may be asked to confirm your identity before a request is actioned.
Sensitive information
Axiom does not ask for special category information (such as health, ethnicity, religion or sexual orientation) or criminal-offence information through this website. Where an employer’s recruitment process lawfully requires specific checks, these are handled at the appropriate stage and on the appropriate legal basis. Verification requirements are determined according to the employer, role and recruitment process.
Complaints
If you have a concern about how your information is handled, please contact Axiom first so it can be addressed. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK supervisory authority for data protection — ico.org.uk.
Changes to this policy
This policy may be updated from time to time. The current version will always be available on this page, with the date it was last updated.
